# Every qualification, *found in a minute*.

Streamcell keeps training and competency records for everyone who works with your animals. Each record knows when it expires, a reminder goes out before it lapses, and the IACUC or access office is told on the day it does. A matrix of person by course answers the site visit question in a minute.

## Key facts

- **Who it's for**: IACUC offices, compliance officers, facility trainers
- **Records**: Training record, competency assessment
- **Views**: Expiring in 30 days, training by protocol, qualification matrix

## Why are training records hard to find at a site visit?

Because the course, the hands-on sign-off and the protocol usually live in three different places.

Who was trained, on what and when is one of the first things a site visit or a protocol review asks for, and it is often spread across a learning system, a binder and an email. Training records need a date and a next step as well as a course name. In the procedures we read, 4 of 9 facilities tie training to the protocol, and hands-on competency was signed off 5 different ways at 5 facilities. Streamcell keeps the course, the competency assessment and the protocol on records that point at each other, so the answer to "is this person qualified for this procedure?" is one view away.

## How does Streamcell handle expiring training?

The record moves on its own: Current, Expiring soon, Expired, Referred to IACUC.

Expiring training sends a reminder, and on expiry the IACUC or access office is told. Renewal work is assigned on the same record, followed by a competency assessment that moves through Requested, In training, Observed and Signed off. You choose who hears about it and write what they read.

| Form | Statuses |
| --- | --- |
| Training record | Assigned → Current → Expiring soon → Expired → Referred to IACUC → Superseded |
| Competency assessment | Requested → In training → Observed → Signed off → Repeat required |

## What can you show when someone asks?

A saved view for each question an inspector or a protocol review asks.

- Expiring in 30 days: training about to lapse.
- Training by protocol: who on each protocol is qualified for what.
- Qualification matrix: person by course, as a pivot.

Every change to a record stays in its audit trail, so when an inspection or a protocol review asks about a record, its full history is there to show. The rest of the compliance work, from post-approval monitoring visits to inspection findings, runs in the [Compliance block](https://streamcell.com/library/compliance).
